See which lab has each case and what stage it has reached
Many clinics note their lab work in a register or in a WhatsApp chat with the technician. This becomes difficult when several cases are with different labs, because nobody is sure what has happened to a particular PFM crown, zirconia bridge or complete denture.
In DentXOS you create a lab order for each case. You choose the lab and the type of work, and you update the status as the case moves. The statuses are Draft, Sent to lab, In progress, Ready for fitting, Trial fit and Fitted. If the work has to be made again, you mark the order as Reordered, and if the patient decides not to continue with the treatment, you cancel the order.
You can print the lab prescription as a PDF and send it along with the impression, so that the lab has the instructions in writing.
When a patient calls to ask whether the crown is ready, your receptionist can open the order and answer without first calling the lab.

Find out about late lab work before the patient comes in
It is uncomfortable to learn that a crown has not come back from the lab when the patient is already sitting in the waiting area for the fitting.
Every lab order has a due date, and DentXOS keeps a list of the orders that are overdue. Your receptionist can check this list before the day starts, call the lab, and move the patient's appointment to another day if the work will not arrive in time.
An order that has come back from the lab is marked as "Ready for fitting", so your receptionist knows which patients can be given an appointment. Trial fit is a separate status, so you can tell which cases have come back for a try-in and which ones have been fitted. An order that is marked as Reordered also stays in the list, so the work that is being made again is followed in the same way.

Keep each lab's rates, your payments and the amount you owe
You can keep a list of rates for each lab you work with. The price for each type of work is then written down in one place, and nobody has to remember it.
You record each payment you make to a lab, and DentXOS shows how much you still owe that lab. If your clinic takes an advance before sending a case to the lab, you can record that advance on the order, and this is optional. There is also a report that gives you a summary of your lab work.
When the lab sends its bill at the end of the month, you can compare it with your orders and the rates you have saved before you pay.

Can the lab update the status of an order themselves?
Not yet. Your staff update the status in DentXOS as the case moves, for example when the work comes back from the lab.
What happens if a crown does not fit at the trial?
You mark the order as Reordered when the case goes back to the lab to be made again. The order stays in your list, so you can see that the work is still pending.
How do we know which lab cases are late?
DentXOS shows all the overdue lab orders in one list, so your receptionist can call the lab before the patient's appointment.
Can we keep track of how much we owe each lab?
Yes. You can save a list of rates for each lab, record the payments you make, and see the amount that is still pending.
Can we record an advance before sending work to the lab?
Yes. The advance is optional, and you can record it on the order before the order is sent.
