Appointments & queue

Dental appointment software for clinics that see both booked patients and walk-ins

Your receptionist can book patients within each dentist's working hours and give a token to patients who walk in. During the day, the queue shows who is in the chair, who is waiting and who still has to pay.

  • Included in both plans
  • From ₹12,000 a year

Walk-in tokens and one queue that the whole clinic sees

Most clinics in India see some patients by appointment and some as walk-ins. When a walk-in patient arrives, your receptionist adds them and DentXOS gives them a token number. The token numbers start again every morning, and each clinic has its own numbers, so your second branch does not continue from the first branch's tokens.

The queue lists today's patients under In Chair, Waiting and Awaiting Payment, and it shows how many minutes each patient has been waiting. A patient who has not arrived on time is marked "Late". The list updates by itself every 30 seconds, so the dentist in the cabin and the receptionist at the counter are looking at the same list.

  • Walk-in token numbers start again every day, separately for each clinic
  • Patients are listed as In Chair, Waiting or Awaiting Payment
  • You can see how many minutes each patient has been waiting
  • A patient who is late is marked "Late"
  • The list updates by itself every 30 seconds

Booking an appointment and sending the confirmation on WhatsApp

Each dentist has working hours in DentXOS. If your receptionist tries to book a patient outside those hours, DentXOS does not accept the booking. If your visiting endodontist comes only on Tuesday and Friday evenings, nobody can give a patient a Monday morning appointment with them by mistake.

DentXOS also does not allow two appointments with the same dentist at the same time. Walk-ins are the one exception, and this is intended, because a patient who comes in with swelling at 6 pm still has to be seen.

After an appointment is booked, a confirmation message for the patient is added to the "To send" list. Your receptionist taps "Send on WhatsApp", and the message opens in the clinic's own WhatsApp with the text already written, ready to send.

  • A booking outside the dentist's working hours is not accepted
  • The same dentist cannot be booked for two patients at the same time
  • Walk-in patients can always be added
  • Your staff send the appointment confirmation on WhatsApp with one tap

When the treatment is over, the patient moves to the counter for payment

When the dentist finishes the treatment, the patient moves to Awaiting Payment in the queue. Your receptionist can see which patient is coming out of the cabin and the total for the treatment done at that visit, and can prepare the bill from it.

This helps most when the clinic is busy in the evening. The dentist does not have to write "RCT 36, visit 2" on a slip and send it to the counter. The receptionist opens the patient from the queue and collects the payment by UPI, cash, card or bank transfer, and the patient can leave.

  • A patient whose treatment is over is shown under Awaiting Payment
  • The total for the visit is ready for your receptionist to bill
  • The patient can scan a UPI QR code at the counter

Reports that show how the clinic did each day

At the end of the day you can open the reports to see how the clinic did. The daily operations report gives a summary of the day, the dentist productivity report shows the work done by each dentist, and the revenue by day report shows how much money came in on each day.

These figures come from the appointments, walk-ins, treatments and bills that your staff already entered during the day, so nobody has to add up a register at 9 pm.

Can patients book online from our website?

Not yet. At present, appointments are booked by your staff inside DentXOS.

Does it send appointment reminders automatically?

Not at present. After an appointment is booked, the message is added to the "To send" list and your staff send it with one tap from their own WhatsApp. Automatic sending will be available soon on the Pro plan.

How are walk-ins handled?

Each walk-in patient gets a token number. The token numbers start again every day and are separate for each clinic. A walk-in can be added even when the dentist is busy with another patient.

Can two patients be booked with the same dentist at the same time?

No. DentXOS does not allow two appointments with the same dentist at the same time, and it does not accept a booking outside the dentist's working hours. Walk-ins are the only exception.

Is there a limit on appointments per month?

No. You can book as many appointments as your clinic needs.
