Inventory & purchasing

Dental inventory management software for the materials in your clinic

DentXOS shows you how much of each material you have, which items will expire soon and which ones are running low. You can also prepare orders for your suppliers and see how much you still owe each of them.

  • Included in both plans
  • From ₹12,000 a year
01

Keep track of each material with its quantity and expiry date

Composite, anaesthetic cartridges and bonding agents all have an expiry date. When they are kept in a drawer, it is easy to forget about them until someone finds a syringe that has already expired.

In DentXOS you enter each batch of a material along with its expiry date. For items that you track one piece at a time, such as a handpiece, you can enter the serial number instead. The stock list shows the quantity in hand and the earliest expiry date for each item, and DentXOS alerts you about the items that will expire soon so that you can use them first.

When your staff choose a batch to use, DentXOS points out the batch that expires first, so they can use it first. This is a suggestion, and your staff can still choose another batch.

For each item you can also set the quantity at which you want to be reminded to order again. When the stock comes down to that quantity, the item is marked as low stock, and your assistant can order it before the clinic runs out of gloves or GIC in the middle of the week.

  • Enter each batch with its expiry date, or track single items by serial number
  • See which materials will expire soon
  • See which batch expires first when you choose a batch to use
  • See which items are low and need to be ordered again
02

Keep the stock correct in every room and every branch

Most clinics keep materials in more than one place, such as the main store, the sterilisation room and each surgery. In DentXOS each of these places is a stock location under the clinic it belongs to, so you know where the material is kept.

DentXOS does not reduce the stock on its own when a treatment is recorded. To keep the quantities correct, your staff count the items on the shelf from time to time and enter the count in DentXOS. The count also shows you where material was used without anyone updating the quantity.

You can move stock from one location to another. For example, when one branch is short of composite and another branch has extra, you can transfer a few syringes, and DentXOS keeps a record of the transfer.

  • See the stock locations of each clinic
  • Count your stock so that the quantities match the shelf
  • Move stock from one location to another
03

Order from your suppliers and see how much you owe each of them

When you need material, you can prepare a purchase order in DentXOS and share it with your dental supplier as a PDF. When the material arrives, you record what you received. If a box arrives damaged or the composite is in the wrong shade, you can record that it was returned to the supplier.

DentXOS keeps an account for each supplier. It lists the goods you received, the goods you returned and the payments you made, and it shows the balance you still owe. You can check this amount on any day without waiting for the supplier to send a statement.

Each time you pay a supplier, you record the payment in their account. If you pay a bill of ₹18,000 in two or three parts during the month, each payment is listed and the balance shows the amount that is left to pay.

  • Prepare a purchase order and share it with your supplier as a PDF
  • Record the goods you received and the goods you returned
  • Record payments to each supplier and see the balance you owe

5 questions
Does DentXOS reduce the stock automatically when a treatment is done?

Not yet. Recording a treatment does not reduce the stock. Your staff count the stock from time to time and enter the count, so that the quantities in DentXOS match what is on the shelf.

Does DentXOS make my staff use the batch that expires first?

DentXOS suggests that batch and does not force it. When your staff choose a batch, the one that expires first is pointed out, and they make the final choice.

Can I keep track of the expiry dates of materials like composite and anaesthetic?

Yes. You enter each batch with its expiry date, and DentXOS alerts you when that date is getting close.

We have two branches. Can we move stock between them?

Yes. You can transfer stock from one location to another, and the quantity at each location is updated.

Can I see how much I owe each supplier?

Yes. Each supplier has an account that lists the goods you received and the payments you made, and it shows the amount you still owe.
