A five-minute end-of-day reconciliation routine

Ask most clinic owners when they last had clean books on the same day and you’ll get a wince. Reconciliation slips because it competes with patients — and patients always win.

The fix isn’t discipline. It’s a routine short enough that it never gets skipped.

The three buckets

Every rupee that comes into a clinic lands in one of three places: UPI, cash, or card (insurance is a fourth, but it settles later). Reconciliation is just making each bucket agree with what actually happened.

1. UPI — capture the reference ID at the moment of payment, against the visit. At closing, the count should match your UPI app, ref for ref.
2. Cash — record cash by chair as it’s taken. The drawer total at close should equal the sum of the day’s cash entries.
3. Card — tag card payments to the visit; match the batch total to your terminal’s settlement.

If you capture at the point of payment, closing is verification, not data-entry. That’s the whole trick.

The routine

At the end of the day, in order:

• Open the day’s summary. One screen, all three buckets.
• Glance at UPI vs your UPI app. Fix any mismatch now, while you remember it.
• Count the drawer. Match it to cash entries.
• Confirm the card batch.
• Export for the accountant — GST is already treatment-level, so nothing to recompute.

Done well, this is five minutes. The reason it usually takes an hour is that the data was never captured cleanly during the day — so closing becomes a reconstruction.

Why treatment-level GST matters

Lumping GST at the invoice level means someone recomputes it later. Capturing it per treatment means your export is final the moment the day closes. Your accountant stops calling on Saturdays — which is the real measure of success.
